Privacy notice.
What we collect, why, who sees it, how long we keep it, and what you can ask of us. Mwari is opening by invitation: today that means the waitlist, invitation sign-up and a preview of your office. Parts of this notice that describe services we have not opened yet are marked “Applies when available”.
1. Who we are
The controller of your personal information is Abraxas Group Limited, which operates Mwari. For anything in this notice, write to privacy@mwarii.com.
This notice covers people who join the waitlist, members and the people they invite into their household, and, once those services open, businesses Mwari contacts on a member’s instruction.
2. What we collect today
If you join the waitlist: your email address and, if you give them, your name, the membership you are interested in and any note you leave. We use these only to contact you about membership.
If you accept an invitation: your name, email address and household name, your time zone, and your password, which we keep only as a one-way scrambled form we cannot read back. We record when you sign in and keep a record of each signed-in session so you can sign out of it, everywhere if you wish.
In your office (the preview): the requests you make and the messages in each thread; what you tell us about your household, such as the people in it, sizes, allergies, dietary needs, preferences, important dates, addresses and suppliers; your approval limit and the approvals you give or decline; and a plain record of each step taken on a request. Membership numbers (for example an airline programme) are locked away as soon as you add them; afterwards we keep only the last four digits on view.
In the preview, every venue is a practice venue: nothing is booked, paid for or sent in the real world, and no one outside Mwari receives your requests.
Cookies: one cookie that keeps you signed in, set only when you sign in. We use no advertising or analytics cookies and no third-party trackers.
3. Why we use it
- To run the waitlist and send invitations (our legitimate interest in opening membership carefully, or steps you ask us to take before becoming a member).
- To provide your office: understanding requests, finding options and keeping the record of each request (to perform our agreement with you).
- To keep accounts secure, prevent misuse and investigate problems (our legitimate interests).
- To meet legal obligations and answer requests about your rights (legal obligation).
We do not sell personal information, and we do not use it for marketing to others or for advertising.
4. AI and the people behind it
Your office is an AI chief of staff. AI services read your requests to understand them and to draft replies, and every reply is checked against what has actually happened before you see it. The providers of those services act on our instructions, under terms that keep little or nothing once a request is answered, and may not use your information for their own purposes.
Access by our own team is limited to what is needed to run and support the service.
5. Who we share it with
- The providers who host and run Mwari, and the AI services described above, acting on our instructions.
- Other members of your household, for the household information you share with them.
- Authorities or others where the law requires it, or to protect someone’s rights or safety.
Applies when available
When your office makes bookings, calls or emails for you, it shares with the business only what the task needs (for example your name, party size and any allergy that matters for a table).
6. International transfers
Your information may be processed in countries other than your own, including the United States. Where information from the UK, the EU or the EEA is transferred, we use the safeguards the law requires, such as standard contractual clauses.
7. How long we keep it
- Waitlist entries: while the waitlist is open, or until you ask us to remove you.
- Account and household information: for the life of your account, plus 30 days.
- The record of steps taken on requests and of account events: one year.
- Password-reset links: 30 minutes, and they work once.
We may delete or anonymise information sooner. When you ask us to delete something, we do, unless the law or an open dispute requires us to keep it for longer.
8. How we protect it
Each household’s information is kept apart from every other household’s, membership numbers are locked away and never shown in full, passwords are stored only in scrambled form, signing out ends your session on our side, and anything above the limit you set waits for your approval. No system is perfectly secure; we review our safeguards as Mwari grows.
9. Your rights
Depending on where you live, you may ask to see, correct, delete or receive a copy of your information, to restrict or object to how we use it, and to withdraw consent where we rely on it. In the UK and the EU you may also complain to your data protection authority. California residents have the right to know, access, correct and delete, and not to be treated differently for exercising these rights; we do not sell or share personal information for advertising.
You can see and change most of what your office knows under Household. For anything else, write to privacy@mwarii.com. We may need to confirm it is you before we act.
10. Services that are not open yet
Applies when available
Calls on your behalf. Your office will say at the start of every call that it is an AI assistant calling for you, will never pretend to be you or use your voice, and will tell the other party the call may be recorded, stopping the recording if they object. Recordings and transcripts will be kept for 90 days. It will never make marketing calls, and it will honour and record any request not to be contacted again.
Emails. Emails your office sends or receives for you will form part of the request’s record.
Payments. Purchases will use one-time or per-merchant cards with limits you set. We will never see, hear or store a full card number.
People on higher memberships. Specialists who step in on a request will see only what that request needs.
Businesses we contact. If Mwari contacts you on a member’s behalf, you may write to privacy@mwarii.com to object, opt out or exercise your rights.
11. Children
Mwari is for adults and is not directed at children. If we learn we hold information about a child that we should not, we delete it.
12. Changes
We will update this notice as Mwari opens new services, and tell members in the app or by email before a material change takes effect. The date at the top shows the current version.
